CONCERT FACILITY MANAGER
GENERAL DEFINITION
This is concert facility management and administrative work promoting and directing all activities at the City's Robin Hood Dell East facility. The employee in this class generates funding for, and plans, schedules, and coordinates the major concert series at the facility. Work includes the development of programs and initiatives to generate operating revenue for the facility, and the solicitation and negotiation of artist contracts and amendments. The employee supervises a small recreational staff and is responsible for the evaluation and design of sound, lighting and video equipment and systems needed by the department. Contact with artists and their agents, news and entertainment media, funding sources and a variety of agencies is of major significance to the work.
Work is performed under the general direction of a higher-level administrator.
ALLOCATING FACTORS: (The following conditions must be met for a position to be approved for this class.)
- The employee must plan, schedule, and direct all activities for the Robin Hood Dell East facility.
- The employee in this class must develop programs and initiatives designed to generate revenue to finance the operation of the concert facility.
- This is a one-position class located in the Recreation Department.
TYPICAL EXAMPLES OF WORK (ILLUSTRATIVE ONLY)
- Directs the operation of the Robin Hood Dell; plans and schedules season events; selects artists; negotiates with agents to secure bookings with selected artists; determines budgetary requirements and staffing needs for operating season; prepares preliminary performance contracts for review by Law Department; makes changes in contracts as required; oversees the day-to-day operation of the facility.
- Formulates strategies to generate revenue to subsidize operation of the Dell; solicits donations from private and corporate grantors; develops promotional strategies to enhance public awareness and increase ticket sales; meets with corporate sponsors to secure financial commitments to the success of the Dell; utilizes volunteer workers to provide services during artists' performances.
- Determines nature of amount and placement of advertising for total program and for individual concerts at Robin Hood Dell East; plans advertising campaign within limits of budget; directs seasonal employees in the preparation of advertising copy, graphics and photographs, writes news releases and articles; prepares copy for brochures and flyers; establishes guidelines for graphics work and defines print image objectives; directs employees in contacting advertising resources and placing ads; makes contact and negotiates with media representatives to solicit air time for publicity for Dell East concerts and other recreation programs; negotiates with agents for use of artists, photos or video material for publicity purposes.
- Directs, through a subordinate, the contracted stage and electrical crews providing services for the Robin Hood Dell East venue; maintains records of crews' attendance; oversees seasonal workers performing laboring tasks at Robin Hood Dell East and maintains records of their attendance and performance; directs other seasonal employees in the facilitating tasks for program office; determines need for capital improvements.
- Evaluates departmental needs for sound, lighting, and video equipment and systems, especially for the Dell East; keeps abreast of current equipment and systems through manufacturers' catalogues and trade publications; prepares recommendations for purchase of equipment and systems; designs sound, lighting and video systems and determines equipment needed; prepares systems' specifications; expedites payments for merchandise received; reconciles receipts with payments.
- Evaluates audio and video systems and equipment to determine need for extent of repair; arranges for repair of projection systems, mixing consoles, loud speakers, power amplifiers, switches, and electronic musical instruments; arranges for shop service on equipment needing extensive repairs; monitors repair progress; supervises issuance of portable loudspeakers, microphones and other equipment for recreational events; supervises the maintenance of an inventory record of sound and video equipment used for recreational events.
- Directs, through subordinate employee, the work of contracted security personnel; monitors time worked and assignments of these employees; approves time records; requests additional security officers as needed.
- Directs, through contractual employees, the installation and alteration of audio, video and lighting systems, especially for the Dell East; determines wiring and equipment connections for both permanent and temporary systems; directs the set-up of audio, lighting and video systems.

MINIMUM ACCEPTABLE TRAINING AND EXPERIENCE
(The following statement represents the minimum training and experience standards which will be used to admit or reject applicants for tests. Applications submitted by candidates for this class will be reviewed based on training and experience requirements as approved on 4/1993.)
- EDUCATION:
Completion of a bachelor's degree program at an accredited college or university.
AND
- GENERAL EXPERIENCE:
Two years of recreation program work in the operations of a recreational performing arts program and/or supervision of the installation of theatrical sound and lighting systems of a concert facility.
AND
- SPECIFIC EXPERIENCE:
Two years of experience planning and scheduling performing arts events for a major concert facility.
Or any equivalent combination of education and experience determined to be acceptable by the Personnel Department.
PHYSICAL AND MEDICAL REQUIREMENTS
- Ability to physically perform the duties and to work in the environmental conditions required of a position in this class.
