MICROGRAPHICS SERVICES SUPERVISOR
GENERAL
DEFINITION
This is supervisory photographic work directing the City's micrographics processing operations. The
employees in this class supervise the activities of a group of Photographic Machine Operators engaged in
photographing City documents, and examine and maintain processed documents. Work includes reviewing and
preparing documents to be photographed, and maintaining micrographics processing equipment. Contact with
staff, City agencies and departments, and outside agencies involved with city microfilm processing operations
is significant to the work. Work is performed under the direction of an administrative superior.
ALLOCATING FACTORS: (The following conditions must be met for a
position to be approved for this class.)
- Employees in this class must supervise the activities of a group of Photographic Machine Operators
engaged in photographing City documents, and examine and maintain processed documents.
- Employees in this class must review and prepare documents to be photographed, including additions and
amendments to processed work, schedule, assign and oversee the work of subordinate staff, prepare
requisitions for supplies and production summary reports and maintain microfilm equipment.
TYPICAL EXAMPLES OF WORK
(ILLUSTRATIVE ONLY)
- Coordinates micrographics systems among City departments/agencies; reviews and prepares documents
to be photographed, including additions and amendments to processed work; ensures that documents submitted
for processing are complete, as indicated in a departmental transmittal sheet; identifies missing pages; notifies
agencies concerned; identifies retake job number and affected pages; states the nature of retake work to be
spliced into the original reel; gives special instruction on unusual or difficult assignments; determines proper
quality of microfilm and duplicate copies to be made; establishes quality assurance procedures in accordance
with industry standards; examines films, using Film Reading equipment, to ensure that the quality of the images
meet established standards; determines cause of defects and takes corrective action, when necessary; may assign
the task of examining films to subordinate staff.
- Oversees the work of subordinate staff; schedules and assigns the work of subordinate staff; determines
the most effective way to process work depending on the number of personnel and photographic machines
available; trains new employees in the operations of microfilm equipment; coordinates the inventory and
ordering of micrographics supplies.
- Makes recommendations for microfilm purchases and upgrades to equipment; prepares requisitions for
materials and supplies such as microfilm reels, mending tapes and production summary reports; maintains
records of materials used in production; prepares annual reports of production and projected costs; ensures
proper maintenance of the processed microfilm reels and microfilm equipment.
- Performs related work as required.
REQUIRED KNOWLEDGES, SKILLS
AND ABILITIES
KNOWLEDGE OF:
- the uses and adaptabilities of a variety of photographic reproduction machines.
- the various kinds of paper, ink, and chemicals used in photography, duplicating, and microfilm
processing.
- the methods, materials and techniques used in the operation of micrographics and related equipment and
the processing of film.
the principles and practices used in supervising a large scale micrographics operation.
SKILL IN:
- the use and care of microfilm and related equipment.
ABILITY TO:
- review and prepare documents to be photographed, including additions and amendments to processed
documents.
- provide routine maintenance, inspection, and adjustments on microfilm and related equipment.
- schedule and assign the work of subordinate staff.
- oversee the work of subordinate staff in progress, identifying mistakes and correcting them.
- prepare and maintain production summary reports, and other unit activity records.
- establish and maintain effective working relationships with staff and associates.
MINIMUM ACCEPTABLE TRAINING
AND EXPERIENCE

EDUCATION
- Education equivalent to completion of the twelfth school grade.
AND
GENERAL EXPERIENCE
- Three years of experience in the operation of micrographic and/or photographic equipment.
Or any equivalent combination of education and experience determined to be acceptable by the Personnel
Department that has included the specific experience described above.
PHYSICAL AND MEDICAL REQUIREMENTS
- Ability to physically perform the duties and to work in the environmental conditions required of a position in this class.
