DATA SYSTEM USER SUPPORT SUPERVISOR
GENERAL DEFINITION
This is clerical and data processing work at the first supervisory level. The employees in this class are responsible for monitoring data processing activities of data systems user support staff and the operations and services provided by a large clerical staff. An employee in this class is responsible for supervising training and other facilitating support services to users in connection with personal computers, networked workstations, or host computers and their applications. Work includes supervising a clerical staff in processing records and reports. Contact with departmental administrators to coordinate the entry of data and oversee the operations of providing training and technical support in software applications for users in inputting storage, retrieval, tracking, and analysis of key data associated with departmental work are significant aspects of the work.
Work is performed under the supervision of an administrative superior.
ALLOCATING FACTORS: (The following conditions must be met for a position to be allocated to this class.)
- Positions in this class must supervise a group of subordinate Data Support User Specialists and a large clerical staff that provides clerical assistance to a professional staff.
- Only one position will be approved per department.
TYPICAL EXAMPLES OF WORK (ILLUSTRATIVE ONLY)
- Plans, schedules and conducts formal and informal training sessions for on site and classroom training.
- Prepares reports and analyses to serve as the basis for actions taken by departmental administrators.
- Prepares layouts to be used in presentations, hand-outs and teaching manuals.
- Supervises and trains Data Systems User Support Specialists in methods of instruction and the use and development of instructional personal computer use.
- Consults with departmental personnel and administrative superiors to determine computer training needs as it pertains to databases and personal computer use.
- Confers with systems and MIS user groups to determine source document and data entry forms designed to facilitate data entry operations.
- Troubleshoots database problems and issues and confers with network administrator and administrative staff to resolve database/computer issues, procedures and method of operation.
- Directs the maintenance of document control systems; handles and controls the data input into database systems.
- Makes assignments of work; checks completed records, reports and other documents for accuracy, completeness and proper processing; orients and trains new employees; prepares performance ratings; establishes and controls production and time elements; organizes work procedures for timely completion of work; reviews and makes modifications of clerical procedures and processes to accomplish work goals; provides interpretations of departmental regulations and/or city ordinances as they apply to the clerical process; resolves problems relating to the clerical process; may access computer software to generate various outputs.

KNOWLEDGE OF:

MINIMUM ACCEPTABLE TRAINING AND EXPERIENCE (The following statement represents the minimum training and experience standards which will be used to admit or reject applicants for tests. Applications submitted by candidates for this class will be reviewed based on training and experience requirements as approved on 12/00.)
EDUCATION
- Education equivalent to the completion of the twelfth school grade.
AND
GENERAL EXPERIENCE
- Four years of general clerical and/or data entry experience or four years of experience in tabulating machine operation or four years in the operation of computer peripheral equipment.
AND
SPECIFIC EXPERIENCE
- Two years experience either developing and administering database and user access training programs, or supervising a clerical staff engaged in a variety, or number of office operations or services, or supervising a clerical staff engaged in full time specialized clerical work maintaining file integrity of computerized master files.
OR
- Any equivalent experience determined to be acceptable by the Personnel Department, which has included the specific experience and the education minimum.
