COURT SERVICES MANAGER
GENERAL DEFINITION
This is supervisory work planning, assigning, and coordinating the activities of a large
court clerical staff engaged in processing and maintaining legal papers and records and providing
clerical assistance to judges during court proceedings. Employees in this class schedule work
assignments and ensure that required clerical services are performed expeditiously and
efficiently. Contact with attorneys, representatives of law enforcement agencies, and other
interested parties to provide information regarding court cases and court procedures is a
significant aspect of the work. Work is performed under the direction of an administrative
superior.
TYPICAL EXAMPLES OF WORK (ILLUSTRATIVE ONLY)
- Plans work assignments for a large court clerical staff engaged in providing assistance
to judges during court proceedings, preparing a variety of legal documents and forms such as
commitments, discharges and subpoenas, providing information to attorneys, court officers and
the general public regarding court cases, filing case folders and related legal documents,
recording appeal decisions, and maintaining disposed case files; rearranges staff assignments to
cover work load requirements; participates in the work of employees supervised when necessary.
- Reviews case records for accuracy and completeness; ascertains that case listings are
properly recorded in dockets.
- Conducts periodic staff meetings to discuss work processes and assignments; interprets
and explains revisions in procedures; ensures the implementation of new policies and procedures.
- Develops training materials for use by newly appointed court clerks; instructs new
employees in the preparation of legal forms and documents and court room procedures.
- Corresponds with court officials from other jurisdictions on matters pertaining to the
enforcement of court orders and the provision of case information; answers a variety of inquiries
from attorneys, defendants and other interested parties regarding case listings.
- Prepares periodic reports on number and type of cases processed; maintains records of
attendance; evaluates the performance of subordinates.

REQUIRED KNOWLEDGES, SKILLS AND ABILITIES
KNOWLEDGE OF:
- the operations and procedures of criminal and quasi-criminal courts.
- the clerical procedures necessary to prepare cases for court, implement decisions of the
court, and to generally facilitate the work of the courts.
- legal terminology, with particular reference to sentences established for various criminal
offenses.
ABILITY TO:
- supervise the work of a large staff of clerical employees engaged in specialized clerical
activities facilitating the work of the criminal courts.
- prepare and process a considerable variety of legal documents.
- maintain records and prepare reports.
- establish and maintain effective working relationships with judicial and law enforcement officials, associates and the general public.
MINIMUM ACCEPTABLE TRAINING AND EXPERIENCE
(The following statement represents the minimum training and experience standards which will be used to admit or reject applicants for tests. Applications submitted by candidates for this class will be reviewed based on training and experience requirements as approved on 8/1988.)
- Education equivalent to completion of the twelfth school grade.
- Six years of clerical experience, four years of which have been processing legal and judicial documents in a criminal or quasi-criminal court, including two years of which have been providing clerical assistance to judges during court proceedings.
Or any equivalent combination of education and experience determined to be acceptable by the Personnel Department.
PHYSICAL AND MEDICAL REQUIREMENTS
- Ability to physically perform the duties and to work in the environmental conditions required of a position in this class.
