TITLE REGISTRATION AIDE I
GENERAL DEFINITION
This is specialized public contact work, of limited scope, receiving and reviewing routine real estate transaction and other legal documents to determine acceptability for recording.
Employees in this class ascertain that documents are properly and completely prepared and explain the proper preparation of documents as required. Contact with title company representatives and the general public to provide and elicit information related to the recording of real estate transaction documents is a significant aspect of the work. Work is performed under the supervision of a technical supervisor.
ALLOCATING FACTORS: (The following conditions must be met for a position to be approved for this class.)
- Employees in this class perform specialized public contact work of limited scope,receiving and reviewing real estate transaction and other legal documents to determine acceptability for recording.
- The positions in this class must be located in the Records Department.
- Employees in this class report to a technical supervisor.
TYPICAL EXAMPLES OF WORK (ILLUSTRATIVE ONLY)
- Receives and reviews documents related to the conveyance of real estate for accuracy and completeness; utilizes a personal computer to access tax records to ensure physical property description matches existing records; checks accuracy of ownership, tax account number, census
tract, street code and house number; elicits current information on the physical characteristics of properties for tax assessment purposes.
- Enters data from legal instruments into an automated database and collects fees and enters collection information; verifies summary and reconciliation totals; performs various cash and account management transactions for remote access users, including establishing accounts on automated system and validating credit information.
- Retrieves tax maps from existing records; locates property on maps; uses an engineering scale to ensure the metes and bounds description indicated on legal documents corresponds with existing tax maps; redrafts maps, as required, from legal descriptions taken from documents presented for recording; maintains the parcel/address atabase by updating and validating data
on a daily basis.
- Performs related work as required.
REQUIRED KNOWLEDGES, SKILLS AND ABILITIES
KNOWLEDGE OF:
- the English language.
- office practices and procedures.
- interviewing techniques.
- mathematics as it applies to survey records (metes and bounds descriptions).
SKILL IN:
- eliciting and providing information related to the recording of real estate transaction documents.
ABILITY TO:
- make judgmental decisions where several courses of action are presented.
- learn the provisions of departmental, city and state regulations, ordinances and laws as applied to the recording of real estate transactions and other legal instruments.
- learn legal terminology used in real property and other recording transactions.
- retrieve and input data utilizing a computer.
- learn computer hardware and software relating to work assignment.
- learn the use of an engineering scale.
- understand and follow oral and written instructions.
- establish and maintain effective working relationships with associates, property owners and their representatives, and the general public.
MINIMUM ACCEPTABLE TRAINING AND EXPERIENCE
(The following statement represents the minimum training and experience standards which will be used to admit or reject applicants for tests. Applications submitted by candidates for this class will be reviewed based on training and experience requirements as approved on 12/95).
- EDUCATION:
Education equivalent to completion of the twelfth school grade.

PHYSICAL AND MEDICAL REQUIREMENTS
- Ability to physically perform the duties and to work in the environmental conditions required of a position in this class.
