DATA SERVICES SUPPORT CLERK
GENERAL DEFINITION
This is specialized clerical work maintaining the accuracy, completeness and integrity of computerized master data files and records. Work includes the creation of formats and data categories and temporary and master file data entry, alteration and retrieval and involves considerable manipulation of the data base. This class is differentiated from all other classes by the responsibility for maintaining file integrity due to employee capability to make direct data base alterations through use of an interactive computer terminal. Composing and generating a variety of reports which require selection and exclusion of specific data and data categories are significant aspects of the work. Work is performed under the supervision of a clerical or administrative superior.
ALLOCATING FACTORS: (The following conditions must be met for a position to be allocated to this class.)
- The position must have sole responsibility for a set of master files and records, maintaining their integrity, accuracy and completeness.
- The position must perform master file data entry, alteration, retrieval and considerable manipulation of data and data formats.
- The position must create and change formats and data categories in temporary and master files.
- The position must perform the work on an interactive computer.
- The position must compose and generate a variety of reports which require selection and exclusion of specific data and data categories.
TYPICAL EXAMPLES OF WORK (ILLUSTRATIVE ONLY)
- Reviews source materials and determines data to be entered; recalls information on CRT terminal; compares source materials to computer stored information to determine if file records need updating; key enters changes and additions; checks printouts of processed data to correct errors in coding or input; consults system manual, source information and computerized records to resolve entry problems.
- Receives requests for a variety of information from computer records; retrieves data from computerized records, selects data from data base and key enters directions to compose reports; supplies print-outs as required.
- Maintains integrity of files and follows conventions for the use of equipment and programs; discovers program errors and advises supervisor; recommends changes for system improvement.
- May train others in the rules and procedures for data entry, coding and information entered and retrieved into or from terminal.
- Performs manual record-keeping, document distribution, typing and other clerical tasks.
- Performs related work as required.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
KNOWLEDGE OF:
- agency procedures and routines related to assigned work
- general clerical procedures and routines
- interactive terminal entry and retrieval procedures
- the basic procedures for opening and closing software applications, working with files and folders to manage documents, and using various Windows applications
ABILITY TO:
- learn the application of the department's designated software package to file creation, data manipulation and master file maintenance
- operate an interactive computer terminal
- speak, read and write English
- deal effectively and courteously with associates and, if required, the public
- follow oral and written instructions
MINIMUM ACCEPTABLE TRAINING AND EXPERIENCE (The following statement represents the minimum training and experience standards which will be used to admit or reject applicants for tests. Applications submitted by candidates for this class will be reviewed based on training and experience requirements as approved on 6/06.)
EDUCATION
- Education equivalent to completion of the twelfth school grade.
AND
EXPERIENCE
- Two years of experience performing clerical processing tasks, which has included of formats and data categories performing data entry and retrieval tasks using an interactive computer terminal.
PHYSICAL AND MEDICAL REQUIREMENTS
- Ability to physically perform the duties and to work in the environmental conditions required of
a position in this class.
